Privacy Policy

This policy explains how QuoteBakkie processes personal information, in line with the Protection of Personal Information Act, 2013 (POPIA).
What we collect
- Your account: name, business name, trade, email, cell number, business details you add (VAT number, banking details for your quotes, logo).
- Your work: voice notes, typed job descriptions, price lists, documents you upload, quotes, and the details of your customers that you include in quotes (name, address, phone, email).
- Billing: plan and payment status. Card details go directly to Paystack; we never see or store your card number.
- Technical: basic server logs (IP address, time, pages requested) for security and fault-finding.
Why we use it
To create your quotes, learn your quoting preferences so later quotes need fewer changes, send you login links and quote copies, bill your plan, keep the service secure, and support you. We do not sell personal information and we do not use your customers' details for marketing.
Who processes it for us
- Anthropic (AI that drafts quotes and reads uploads), United States.
- Railway (hosting and storage), servers in the European Union.
- Google Workspace (email).
- Paystack (payments).
Some of these providers are outside South Africa. We use them under agreements that require them to protect the information, as POPIA section 72 requires.
Your customers' information
When you enter a customer's details, you are the responsible party for that information and we process it on your behalf. Only add details you are allowed to use for quoting.
How long we keep it
We keep your account and quotes while your account is open. If you close your account, we delete your data within 90 days, except records we must keep by law (for example billing records).
Your rights
You can ask to see, correct or delete your personal information, or object to how we use it, by emailing info@quotebakkie.co.za. You can also complain to the Information Regulator (inforegulator.org.za).
Security
Information is sent over encrypted connections (HTTPS). Access to accounts uses one-time email login links or private access codes.
Cookies and local storage
The app stores your login on your device so you stay logged in. We do not use advertising or tracking cookies.
